Principal purpose of the job

To provide a confidential support service to the Managing Director including diary man-agement, travel arrangements, full secretarial and administrative support, corporate en-tertainment and liaison with customers, employees and external bodies.

Main tasks and responsibilities

Administrative support - To type and distribute letters, e-mails, memo's, faxes, minutes of meetings with accuracy and speed, producing documents, briefing papers, reports and presentations

Communication – Must be fluent in Spanish. Effectively communicate to employees, external bodies and customers etc in relation to the MD and appointments, meetings, resolving issues and projects. To be an effective filter of information

Other Duties - Occasional confidential support to the main board Directors

Project Management - To support occasional projects in which the MD may be involved

Travel - To manage travel arrangements including overseas travel

Principal purpose of the job

To provide pro-active support to the HR officer and HR Administrator by completing all HR-related administrative tasks and processes including facilities work

Main tasks and responsibilities

HR Related Responsibilities:

Maintain company organograms

Holiday requests – input all holiday requests on Kronos/spreadsheet

Maintain training matrix – record all training submitted to HR and file

Maintain noticeboards – update on regular basis

Arrange weekly OHN appointments

Update and maintain personnel database as necessary

Other general ad-hoc duties

Facilities Related Responsibilities:

Set up and maintain allocation of staff personal lockers

Set up and maintain allocation of staff entry cards and replenish stock

Deal with caterers and machine vendors, coordinating supply and re-stocking, contacting suppliers for services and/or breakdown during office hours

Responsible for front office coffee machine and supplies

Ordering of company business cards

Contact with all levels of staff

Face to face or telephone staff queries

Sort and issue mail

Send invoices to Accounts department

Frank outgoing mail / arrange couriers on ad-hoc basis

Greet visitors and follow sign-in procedure

Monthly locker inspections

Principal purpose of the job

To run the operations shift, through your team, ensuring the highest possible output at the lowest achievable cost and enable delivery to meet short and long term operational targets and objectives. The Shift Manager will achieve results with his operational team while ensuring that all activities regarding the working environment, staff and the production operation are in conformance with internal and external standards

Main tasks and responsibilities

Effectively manage the team and encourage team performance through open and effective communication. Deliver a weekly briefing to team, and produce daily and monthly management reports.

Ensure team organises materials (raw materials, packaging etc.) from warehouse and ensure teams are able to program and run the equipment and tools for each particular area.

Verify and manage the overall attendance of Team (incl. labour usage against the standard) and inform Production Manager / Human resources daily of absences.

Ensure a team approach with regard to maintenance and hygiene of equipment and liaise and plan effectively with product specifications with the relevant departments

Ensure that all production activities are in conformance with the product specification, i.e. continuously manage the quality of the product and materials to comply with product specifications.

Verify, control and assure that all the production parameters are within specification (i.e. process control). Monitor process parameters, identify (qualitative) deviances, evaluate and action solutions with team.

Enforce and manage company policies, procedures and regulations (attendance, safety, GMP's, etc.) and ensure these are followed to maintain the various high standards (Food Safety etc.)

Efficiently manage and facilitate teams to achieve production orders (and schedules) in a timely manner

Ensure that team targets for output, efficiency, labour, quality and waste etc. are managed and met by proactive team approach, i.e. leasing with other departments to drive waste down.

Coordinate product and shift changeovers. Manage line shut-down and release for inspection, hygiene, curative (breakdown) and preventative maintenance on all production lines. Assist maintenance and team with simple machinery maintenance tasks.

Resolve team conflict and issue documented disciplinary actions, and ensure that team and individual effort, hard work and results are rewarded when appropriate.

Assess and manage training needs of team and ensure training is delivered in a timely and effective manner and in accordance with individual and the business' needs through a training plan. Play an active role in coaching of staff.

Ensure that you and team maintain a high level of housekeeping at all times

Works closely with Production Manager and operational team. Will also a close Liaison with QA, Maintenance & Warehouse. Co-ordinate with planning/scheduling. Ensure that handovers are smooth and efficient whilst sharing relevant information. This should be carried out in the plant. Request/give information from/to Production Manager. Maintain an effective log of shift activities and actions.

Will be required to lead, manage and develop your team. You will need to demonstrate an energetic and positive approach to man-management and be 'hands-on' if and when required.

Environment

Primarily based on the factory floor. Occasionally can be wet or cool depending on activity and/or place.

Qualifications and job skills required

Previous food industry experience essential ,A Degree or HND standard of education, good standard of both written and oral English,. Basic Food Hygiene Basic Health and Safety, Data and analytical skills, Computer literacy & Maths Skills
